The short version: ApplyPilot is free, open-source software you run on your own machine. Use it responsibly. The AI helps you apply for jobs, but you are responsible for reviewing everything before submitting it to an employer. You own your data and can export or delete it at any time.

1. Acceptance of Terms

By using this instance of ApplyPilot, you agree to these Terms of Use. If you do not agree, do not use the software. You must be at least 16 years old to create an account.

2. About This Software

ApplyPilot is free, open-source software licensed under the MIT License. The source code is publicly available on GitHub. You are running a self-hosted instance — all your data stays in your own database on the machine where this instance is deployed.

The software provides:

  • Job posting analysis and requirements extraction
  • Company research and insights
  • Profile-to-job matching and fit assessment
  • AI-generated cover letters and application materials
  • Resume optimization recommendations
  • Interview preparation assistance
  • Career tools (thank you notes, follow-up emails, salary negotiation coaching, job comparison, and more)
  • Chrome extension for analyzing job postings from pages you visit and suggesting application form values from your profile

3. Account Registration

3.1 Account Creation

To use the software, create an account with accurate information. You may register using email/password or, if configured, Google OAuth.

3.2 Account Security

You are responsible for maintaining the confidentiality of your credentials and all activity under your account.

3.3 Account Restrictions

You may not share account credentials, use another person's account without permission, or create accounts for fraudulent purposes.

4. Acceptable Use

You agree to use the software only for lawful purposes. You agree NOT to:

  • Use the software for any illegal or unauthorized purpose
  • Submit false, misleading, or fraudulent information
  • Attempt to gain unauthorized access to the server or database
  • Interfere with or overload the running instance
  • Attempt to circumvent rate limits, security measures, or access controls
  • Violate any applicable laws or regulations

5. Your Content

You retain full ownership of all content you submit — resumes, profile information, job descriptions, and generated outputs. Your data is processed locally on this instance to provide the service. You may export or delete all your data at any time from Dashboard → Settings.

6. Open Source License

ApplyPilot is released under the MIT License. You are free to use, copy, modify, merge, publish, distribute, sublicense, and/or sell copies of the software, subject to the terms of the MIT License included in the source repository. Nothing in these Terms of Use restricts your rights under the MIT License.

7. AI-Generated Content Disclaimer

Important: All AI-generated content — match scores, company research, cover letters, resume tips, interview questions — is provided as a starting point only. It may contain errors, inaccuracies, or outdated information. You are responsible for reviewing and verifying everything before submitting it to an employer.

By using the software, you acknowledge that:

  • Match scores and fit assessments are estimates — not definitive hiring signals
  • Company research is derived from publicly available information and may not be current
  • Cover letters and other materials are drafts — review, personalize, and edit them before submission
  • AI-generated content is not guaranteed to be accurate, complete, or appropriate for your situation
  • The quality of AI output depends on the completeness and accuracy of your profile
  • No guarantee is made of any outcome, including job offers, interviews, or callbacks

8. API Keys (BYOK)

If you add your own Google AI Studio API key:

  • You are responsible for obtaining and maintaining a valid key
  • API usage is subject to Google's terms and pricing
  • You are responsible for any costs incurred
  • Your key is stored encrypted in the local database

9. Privacy

Your use of this software is governed by the Privacy Policy, which describes what data is stored and how it is handled on this instance.

10. Termination

10.1 By You

Delete your account at any time from Dashboard → Settings → Account. All data is permanently and immediately removed. Export your data first if you want a copy.

10.2 By the Instance Operator

The operator of this instance may remove accounts that violate these terms or misuse the software.

11. Disclaimers

THIS SOFTWARE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, ACCURACY OF AI-GENERATED CONTENT, OR UNINTERRUPTED OR ERROR-FREE OPERATION.

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, THE CONTRIBUTORS TO THIS OPEN-SOURCE PROJECT SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR OPPORTUNITIES, ARISING FROM YOUR USE OF THIS SOFTWARE OR ANY AI-GENERATED CONTENT IT PRODUCES.

This software is provided free of charge. Use it at your own risk.
